Driftwood Point Board Meeting Monthly Meeting January 11, 2005 CALL TO ORDER: The December DPMC Community Meeting was held at Lake Tapps Elementary School and called to order by President Toni Jilek at 7:02 PM. ATTENDANCE: Attendees included President Toni Jilek, Board Members Jean Julum, Tim Wilson, Ron Wilderman, Ann Beurskens and Executive Secretary Lisa Graham. Community Members in attendance: Past President Chuck Romeo, Dennis Schmit, Gary Lorrenzo, Dorothy Muoio, Karen Sargent, Rick Simons and Stan Baber. Excused Absences: Vice President Joe Muscarnera, Secretary Bob Lee, Board Members Devin Graham and Kim Small APPROVAL OF DECEMBER 13, 2004 MINUTES The first order of business by your Board was the reading of the December 13, 2004 minutes. Board members recommended removing the names of community members who will identify “Nuisance Properties” in our neighborhood. In addition, the minutes reflected “November” minutes that need to changed to “December” minutes on the 1st paragraph. Noting no other corrections or modification a motion was made by Ann Beurskens to approve the minutes with noted changes. Seconded by Jean Julum and approved by all attending Board members. TREASURER’S REPORT: A current financial balance was not provided at this meeting. Tim Wilson advised that the Budget committee met on Wednesday January 5th. The committee agreed to start putting together a budget for 2005/2006 fiscal year. This needs to be completed by March in order to have it ready for approval by DWP members at the April annual meeting. Tim Wilson further advised that the budget committee noted we were over budget on expense such as lights (last year bills) but we were overall within budget for 2004/2005. Other things the Budget Committee will be considering for next year’s budget is the parks septic system, establishing an emergency fund, Easter Egg Hunt and a few other items. Tim announced that overall there may be a $5000- $7000 surplus left over from the 2004/2005 budget; however, we will have additional spring expenses since the park will open earlier in the season. Next year we will review how the seasonal budget vs. annual budget guides us in determining the year’s budget. Other things to consider- may want to increase the Key Bank loan monthly payments to make sure it is paid off in three years. The Budget Committee. will investigate this at the next meeting. A question was asked about where $1650.00 came into our revenue stream. The secretary explained that this money came from second gate card deposits. She recommended that next year we may want to consider no longer having a refundable deposit. OLD BUSINESS: 1. Income Tax Audit Update: Jay Vandal - Still waiting to hear back- audit not complete. Will continue to stay in contact. We have 417 lots plus 4 volunteers (confirmed by Pierce County Records) 2. Santa Food Drive: DWP received a thank you letter from Sumner Food bank. A $200 donation was made –trying to find out which member donated the money to say thank you. Person who donated can have a receipt for income tax. Have an idea who the person may be but will check into it. 3. Christmas Decorating Contest: Decorating Contest had pictures posted on web. President Toni Jilek and husband Bob made ribbons for 1st place through 5th place and honorable mention. 4. ERA Signs Posted at Community Entrance: Era signs were taken down at entrance-thanks BOB! 5. Fax & Printer Report: Community member Dennis Schmit gave a printer/fax report. The Board is looking for a multi functioning fax/laser printer/copier for an output of about 300 copies per month. The retail cost ranges from $400 to $800. Costco had some that may be cheaper. It was suggested that we ask community members via the DWP website if anyone has a printer that may fit our needs and would like a tax write off. Motion was made by Tim to supply the requirements of a new computer system and printer to the Budget Committee to place it in the 2005/2006 budget. Motion seconded President Toni Jilek. Dennis Schmidt volunteered to help look at our current computer system and make recommendations on what DWP may need. 6. Nuisance Properties: Junk Vehicles: A concerned group of community members toured our streets January 2, 2005 to create a list of junk vehicles that have become an eye sore/nuisance to other DWP community members. The list will be forwarded to the executive secretary Bob Lee. Letters will be drafted and sent out with President Toni Jilek’s approval. First time letters will be sent via regular mail. If the homeowner identified as having a junk/nuisance vehicle fails to respond to the first letter a second letter will be sent via certified mail. 7. Driftwood Point – One Way Street Proposal: One way street/walking path - Dennis Schmit presented a map with one way roads (noted by arrows) and 2 way roads (highlighted in orange). The goal was to maintain an equal flow of traffic throughout our community. If we adopt this proposal we may need to purchase street signs and widen the 2 way roads. Other suggestions/options brought forward during the meeting included filling in the ditches and move mailboxes to one side of the road which would provide more room for walking/joggers/bicyclists. According to Pierce County maps on the county website- the county maintains the road to ballpark. This may need to be investigated further. It was agreed that before more time is spent on looking into one way roads the board would like to post a letter on the DWP website soliciting feedback from community members to see if they are interested in this proposal. 8. Finance and Accounting: Ron Wilderman called and talked to Jessica Heinke who agreed to provide four hours of executive secretary training in early February. The update on Quick Books Pro has not been purchased. Currently looking for a 2005 version and may need to wait a few more weeks for the newer version. NEW BUSINESS: 1. Park Rules: Executive Secretary brought up the fact that we need to start looking at park rules and make recommended changes for the 2005/2006. Information needs to be sent out in March 2005. Motion was made by Ron Wilderman to establish a Park Operation’s committee and seconded by Tim Wilson. Rick Simons, and Ann Beurskens volunteered to chair the committee. Devin Graham, Jean Julum and Monica Hansen will make up the committee. 2. 2005 Easter Egg Hunt: Scheduled for the Saturday before Easter. Lisa Graham will contact community member Lisa Krouse to see if she is interested in doing it again this year. Additional volunteers include Lisa Graham, Ann Beurskens and Toni Jilek. A motion was made by Tim Wilson to take out $200 from the park improvement budget to fund part of the Easter Egg hunt for 2005. Seconded and approved by the Board. We will post on the DWP website a notice accepting additional donations for the event. Last year it cost approximately $300 to host the event. Please make check’s out to DWP and mail to PO Box 64, Sumner WA 98390 3. 2005 Annual Garage Sale: Garage sale - Karen Lee will be asked to head garage sale again this year. Would like to have it sometime in May. 4. Non-cashed Checks: Executive Secretary stated she would contact three community members who have not cashed checks. Will try to reissue new checks and hopefully they will get cashed. OPEN DISCUSSION: The topic of cleaning up trash/garbage in our community, especially at our front entrance was discussed. We will contact Pierce County for trash bags and determine if they will send out a crew to pick up the bags. Someone brought up the idea of checking into scout troops for a possible service project. Lisa Graham will contact the Red Peppers from NTMS and see if they want to adopt a road as a service project. Chuck Romeo stated his daughter Charlene Farmen would be willing to head a clean up committee. President Toni Jilek will contact Charlene. Tim Wilson brought up that we have not done a DWP newsletter in over a year. Ron Wilderman and Jean Julum agreed to form a Membership Communications Sub-Committee to develop a plan to get information out to the community. The Board thought Vice President Joe Muscarnera might be able to get a newspaper/letter box for the park so members could pick up a copy of the newsletter. In addition, we will attempt to utilize e-mail of DWP homeowners to send the newsletter electronically, thus saving the cost of printing materials as much as possible. The newsletter will also be posted on our community web site. Ron Wilderman, Jean Julum, Tim Wilson and community member Don Fisher will begin working on a Driftwood Point Newsletter. A motion was made by Tim Wilson to change the February 14, 2005, monthly community meeting to Tuesday February 15, 2005, due to Valentine’s days. The motion was seconded by Jean Julum and unanimously approved. Seconded and approved by the Board. Motion to end meeting at 9:14 PM by Ann Beurskens and seconded Tim Wilson. Meeting adjourned. NEXT
